We strongly advise that the group members are adequately insured before travelling but unlike some of the other tour operators in our market Hellene Travel does not insist that you take out our insurance.
You will be insured from the moment that we receive your completed Booking Form and deposit.

The following is a synopsis of your insurance cover. Your policy will be sent to you in your final document pack. Please keep the document safe because it includes important information should you need to make a claim.
UK 1-5 days cover : 4.61 GBP per person
Europe: 1-5 days cover: 6.46 GBP per person
Worldwide: (excl USA) 13.84 GBP per person
Worldwide inc USA: 17.52 GBP per person
The Hellene Travel insurance does not cover extreme sports (eg Ski, bungee etc). Unless the you take out your own insurance we would strongly advise against participating in such activities.

Should you need to make a claim please contact Endsleigh on the numbers given below. If luggage is lost or damaged in transit inform the airline or Coach Company immediately and arrange for them to send you a copy of their PIR (Property Irregularity Report). If belongings are stolen please ensure that you get a police statement and keep detailed records (inc receipts).

Passports & Visas
It is the individual’s responsibility to have a valid passport and appropriate visa for the tour. A person may be refused travel if they do not possess a valid passport or visa. Hellene Travel is not obligated to assist in the event of such a refusal so please ensure that the group’s documents are carefully checked well before your date of departure.
It is important that the names and initials on the flight ticket exactly match those on the person’s passport. If there is an error the passenger will probably be refused entry on the plane. To be on the safe side, please ensure that the person’s passport is valid for up to 6 months or more after the return date of the tour.

Non-British citizens should consult the Embassy of the country of destination (and all countries that they will be travelling through), and the Home Office Immigration dept. to check if any special documentation is required. Hellene Travel is not responsible for a person if he/she cannot travel because they have failed to obtain the relevant documentation and no refund will be given in such cases. Yes! If there is an error then the Airline will refuse to allow you to board the plane.
Hellene Travel needs a deposit in order to book most scheduled flights. If a person drops out up to 6 weeks before the date of travel then they will usually lose their deposit only. If a person cancels 6 weeks or less then they will lose the full tour price. (See below for low-cost airlines)
The Low-Cost Airlines offer great value for money but there are many restrictions with the booking procedures. In order to book seats with a low-cost Airline we will need you to pay the flight fare on confirmation of the booking AND send us a full and final passenger list.
The Low-Cost Airlines usually sell a limited selection of snacks on board. Airlines like BA and Virgin Atlantic include food in their fare.
Most Airlines will have ground-handling staff to help with your check-in. To ease the procedure it is best that one person takes charge of all the passports and flight tickets. If you are travelling on a ticketless airline (eg Easyjet, Air Berlin, Ryanair etc) you will need to quote the reference given on your itinerary. The reference will cover the whole group.
Hellene Travel only books with scheduled flights because they usually depart on time. However, there are unfortunately occasions when a flight is delayed. If this is the case then it is at the Airline’s discretion as to whether they provide light refreshments etc.
Again, it is very rare that this will happen but in the event of a cancellation the Airline will try to get you back on the next available flight. If there is only one flight a day then you may need to arrange overnight accommodation for the group. Hellene Travel will do our best to help but we are not liable for any extra costs incurred. Always, check with your insurer to see if they can help or to see if you will be entitled to compensation

Hellene Travel has an extensive ‘bank’ of educational visits and we offer a free booking service. However, please note that the visits are subject to availability and sometimes there will be an entrance fee or our representative may ask for administration fee.
Hellene Travel works with a number of Travel Agencies. We offer a full range of products to suits your needs, including air tour packages; coach tour packages; flight only; accommodation only; coach only and also all ground-handling services. We offer Agents a specially reduced nett price and you have the opportunity to ‘mark up’ as you wish.
Hellene Travel has local representatives in many destinations. Our colleagues provide a range of services on our behalf and are will be on hand should we/you need assistance in your destination. You can also contact Hellene Travel 24 hours a day.
Hellene Travel offers 1 free place per 10 paying passengers for Coach Tours. 1:15 free for European flight tours and Eurostar/rail tours and 1:20 free for long-haul flight packages. We will be happy to include additional leaders in your tour price if necessary.
We try to be as flexible as possible. Our quotes have a ‘cushion’ of 5 persons (eg we will quote for 30-34 persons or 35-39 traveling etc). If your numbers stay within that range then there should not be a change in price. However, if your numbers fall into the lower bracket then the price will increase.
The good news is that usually the price is cheaper if you increase your numbers to the upper band but please contact us before accepting extra students because we need to confirm the details with the hotel and coach supplier.
We pride ourselves at Hellene Travel on our flexibility when dealing with your tour details. We will give you extra time to finalise details at your end but when you give us the final passenger numbers they must be non-changeable.
Hellene Travel will be happy to arrange a tour for groups of 10 persons or more. If your group is smaller than 10 then it will be cheaper for you to use a High Street Travel Agent.
Many hotels will ask for a deposit to be paid on arrival. The deposit amount will vary but it is usually around GBP10.00 per person. The Receptionist may swipe your credit card for the whole amount and return the slip when you depart, assuming that there were no problems with your group.

The Pet Travel Scheme – This is administered by the Department for Environment, Food and Rural Affairs (DEFRA) – You can find full details of the new requirements for pets travelling abroad. This is particularly important if you need to travel with an assistance animal.
